Getting your records
Sensei Cloud
Carestream Dental · cloud
Carestream’s browser-based system. Files download one at a time from Patient Files, images export from Sensei Imaging (or from CS Imaging, if the office kept it), and notes and history print to PDF.
What to ask for
Send this to the office. It is written for someone who works in Sensei Cloud every day, so there is nothing for you to translate.
- Patient Files: Download File for each file, and each item under Correspondence.
- Sensei Imaging: Export → Download as DICOM in a ZIP (with the zip password sent separately), or PNG.
- Perio Chart: Print Exam for each exam date, with Include Perio Exam Notes.
- Print Clinical Notes for all dates, and Print Account History for the dated procedure list.
- Lab cases: the Lab Case Management export (CSV) with closed cases shown; any lab paperwork scanned is in Patient Files.
Where it is in Sensei Cloud
Each of these produces one part of the record. The office does not need to do all of them — only the ones you asked for above.
Documents (Patient Files and Correspondence)
- Path
- Patient tab → Patient Files → (filter by Categories, Created by or Uploaded Date if needed) → select the file → File Details → Download File (Preview File, for PDFs, also offers download and print). Letters and emails: Patient tab → Correspondence → select the item → Download File. One file at a time.
- Produces
- The original file type; system-generated items (statements, walkout statements, signed treatment plans, correspondence) are PDF. Completed Patient Bridge forms are uploaded here too. The file name is the Name given at upload.
- Choose
- Download File, not Preview → Print. Have the office add the date to the name where it is missing.
Images and X-rays (Sensei Imaging)
- Path
- Sensei Cloud: Patient tab → Clinical → Images → select the image → Open in Imaging. In Sensei Imaging: in the Preview pane click Select → click each image (selected images are outlined yellow) → Export on the right toolbar → Download → Archive Format ZIP (or ISO) → Image Format JPEG, PNG or DICOM → Zip Password (required for DICOM) → Download. Or Export → Email, with a link that expires in 1 to 7 days. A single image can also be downloaded from the Images list itself.
- Produces
- A ZIP or ISO of JPEG, PNG or DICOM files; a DICOM export is a password-protected ZIP. The Screenshot export (JPEG or PNG) can show the patient name and tooth numbers. Whether JPEG or PNG downloads carry the name or date is not stated.
- Choose
- DICOM in a ZIP, with the password sent in a separate message. PNG second.
Images and X-rays (CS Imaging)
- Path
- Open the patient and launch CS Imaging (the patient’s name shows in its title bar). In the Patient Browser or Dashboard: Ctrl+click the images → the Export icon group → the folder (Save) icon → Save As window → Destination Folder → Image type: For Presentation, or BMP, JPEG, TIFF, PNG (Keep current format is a CS Imaging 8 format that only CS Imaging 8 can open) → optional Compress items → Save items. The whole set as DICOM: Ctrl+click the images → Export icon group → DICOMDIR icon → Destination Folder (it must be empty) → Export. By e-mail: Export icon group → e-mail icon → Send by e-mail items.
- Produces
- DICOM files (For Presentation, or the DICOMDIR folder set), or BMP, JPEG, TIFF or PNG images, which the vendor says "do not provide accurate measurement capability" and "should not be used for diagnostic purposes". Drawings and annotations are saved only with Keep current format, BMP, JPEG, TIFF and PNG. Dragging an image out to a folder gives a JPEG whose file name "includes the patient name and acquisition date".
- Choose
- For Presentation (DICOM), or the DICOMDIR export. PNG only for a recipient who cannot read DICOM. Never Keep current format.

Periodontal chart
- Path
- Patient tab → Clinical → Perio Chart → if there is more than one exam, pick the date in Display Exam from → Actions → Print Exam → tick Include Perio Exam Notes if wanted. Repeat per exam date.
- Produces
- A printout of one exam. The vendor does not state the file type. No CSV or XML export of perio values is documented.
Clinical notes, chart history, procedures and treatment plans
- Path
- Clinical notes: Patient tab → Clinical → Hard Tissue Chart (or Clinical Chart (EMR)) → Actions → Print Clinical Notes → date range and sort order → Print → the PDF preview → Download. Chart: Hard Tissue Chart → Mode: Current → Actions → Print Clinical History. Dated procedures: Patient tab → Financials → Ledger → Actions → Print Account History → Service Date Range: Custom → Print. Treatment plans: Patient tab → Treatment Plans → the plan → select the procedures → Plan Actions → Print Selected.
- Produces
- PDFs. The clinical notes PDF header carries the office information, the patient information and the date range. Print Clinical History gives the graphical tooth chart (it "does not contain procedures, watches, diagnoses, or chief complaints"). Account History lists service dates, charges, payments, adjustments and balances.
- Choose
- Print Clinical Notes for all dates, ascending, and Print Account History for all dates, for the dated procedure list.
Lab cases
- Path
- Location tab → To Do → Lab Case Management → Search Patients for the patient → untick Hide Closed Lab Cases → Apply Filter → Actions → Export.
- Produces
- A CSV of the lab case rows (created date, lab, description, shade, expected and received dates, status) with the patient’s name in each row. Returned lab paperwork, if scanned, is in Patient Files.
What the office has to ask Carestream Dental for
These cannot be exported from the software itself. If you need them, say so early — the vendor is a second queue.
- A bulk download of all of a patient’s files, images or correspondence: one file at a time is what is documented; more needs Sensei support.
- Perio values as data: not documented.
You may be able to get some of it yourself
Sensei Cloud’s patient-facing pages handle booking, check-in and intake forms, with PDF copies of forms you just completed; the vendor documents no patient download of clinical notes, images or documents.
True of any office
Whatever software they run, these are worth asking for.
- Documents and scans as PDFs: letters, referrals, treatment plans, consent forms, insurance explanations.
- Images and X-rays as the original files (JPEG, PNG, TIFF, DICOM), not photographs of a screen or a printout.
- The periodontal chart as data (XML or CSV) if the software offers it, and as a PDF if not.
- Treatment history: the list of procedures with dates and codes, exported as data if the software offers it.
- Lab reports as the PDF the laboratory sent.
